How Protosoft handles personal information.

This policy explains how Protosoft Pty Ltd collects, uses, stores, and protects information across our websites, portals, hosted software products, and support channels.

Protosoft Pty Ltd is an Australian software company based in Adelaide. We create, host, and maintain practical software products including public websites, customer portals, subscription products, and related support systems.

  • account details used for registration, login, verification, role access, subscription management, and product support;

  • product usage information needed to operate, improve, secure, or support our software.

3. How we use information

We use information to provide and improve our products, respond to enquiries, manage accounts, process subscriptions, protect our systems, provide support, maintain records, and comply with legal obligations.

We do not collect personal information for the purpose of selling it to advertisers.

4. Product accounts and hosted data

Some Protosoft products store customer-entered records, documents, files, financial records, operational records, or other product data. That data is used to provide the product to the account holder and authorised users.

Access to hosted product data is restricted to authorised users and limited operational access required for support, maintenance, security, backup, or legal compliance.

5. Email support and remote assistance

Protosoft provides support remotely, primarily by email and online systems. Support messages may be retained so issues can be tracked, reviewed, and followed up properly.

If you send screenshots, files, logs, or other information to support, we will use that material for the purpose of understanding and resolving the issue.

6. Payments and subscriptions

Where a product uses paid subscriptions or online payment, payment details may be handled by third-party payment providers such as Stripe or other payment processors. Protosoft does not need to store full credit card numbers on its own servers when a payment provider is used.

We may keep transaction references, invoice details, subscription status, payment history, and related account records for administration, tax, accounting, support, and audit purposes.

7. Cookies, analytics, and security logs

Our websites and products may use cookies or similar technologies for login sessions, security, preferences, form protection, analytics, and product operation.

Security logs may record IP addresses, login attempts, browser details, request activity, and other technical information. These logs help us protect accounts, detect abuse, investigate faults, and maintain service reliability.

8. Third-party services

We may use trusted third-party providers for hosting, email delivery, SMS verification, payment processing, analytics, security, backups, and operational support. These providers only receive information needed to perform their function.

Examples may include cloud hosting providers, payment processors, email delivery services, SMS providers, and security services.

9. Hosting and storage

Protosoft’s hosted products are operated using Australian infrastructure where practical, including Microsoft Azure Australia Central for key hosted services.

Some third-party services used for email, payments, SMS, analytics, or support may process information outside Australia. We use these services only where they are reasonably needed for product operation and administration.

10. Disclosure of information

We may disclose information when required to provide a product or service, process a payment, comply with the law, enforce our terms, protect our rights, investigate abuse, or respond to a lawful request.

We do not sell personal information to advertisers or unrelated third parties.

11. Security

We use practical security measures including controlled access, password protection, verification steps, logging, firewalls, backups, and monitoring. No online system can be guaranteed to be completely risk-free, but we take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification, or disclosure.

12. Data retention

We keep information for as long as needed to provide products, support accounts, meet legal and accounting requirements, maintain backups, resolve disputes, protect security, and operate the business.

Trial, inactive, expired, or abandoned accounts may be archived, restricted, or deleted according to the relevant product rules and our Terms and Conditions.

13. Accessing or correcting your information

You may contact us to request access to, or correction of, personal information we hold about you. We may need to verify your identity before making changes or disclosing account-related information.

Some product information can be viewed or updated directly by signing in to the relevant product or portal.

14. Children

Protosoft products and websites are not directed at children. If we become aware that personal information has been collected from a child where it should not have been, we will take reasonable steps to remove it.

15. Links to other websites

Our websites may link to third-party websites such as product sites, hosting consoles, Microsoft services, payment providers, or related resources. We are not responsible for the privacy practices or content of those third-party websites.

16. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised update date. Continued use of our websites, portals, or products after changes are posted means the updated policy applies.
